SAMPLE POLICY — COSTS, TIMELINES, AND REFUND TERMS
Everything you need to know before requesting a sample — exact fees, production windows, shipping costs, and how your sample fee applies to bulk.
HOW MUCH DOES A CUSTOM JACKET SAMPLE COST?
Our sample fee runs between $40 and $100 USD per style, depending on the complexity of your design. A straightforward bomber jacket with standard embroidery sits at the lower end. A varsity jacket with chenille patches, custom lining print, and multi-panel wool construction sits at the upper end. Your account manager confirms the exact sample fee when reviewing your tech pack — before you commit to anything.
The sample fee covers a fully finished garment built to your specification — same materials, same construction, same private label components as your bulk order. It is not a deposit toward a generic prototype. If you proceed to bulk production within 60 days of sample approval, the sample fee is credited in full against your bulk order invoice.
How Long Does a Sample Take?
Sample production takes approximately 7 business days from the date we receive your approved tech pack. That clock starts when your tech pack is confirmed — not from your first inquiry. If your brief is incomplete, your account manager will identify the gaps before we begin so the 7-day window isn't lost to back-and-forth.
Once the sample ships, delivery time depends on your location and the shipping method you select. Express courier from our Guangzhou factory typically reaches North America and Europe in 3–5 business days. Economy shipping options are available if your timeline allows.
Sample Shipping — What You Pay
Sample shipping runs approximately $20–$30 USD per piece via express courier. The exact cost depends on your destination country and the courier rate at the time of dispatch — your account manager confirms the shipping cost before the sample is sent, so there are no surprise charges on delivery.
We offer DDP shipping — Duty Delivered Paid — on sample orders as well as bulk. DDP means we handle all import taxes, customs duties, and clearance fees on our end. Your sample arrives at your door with nothing additional to pay to your local customs authority. For buyers in markets with higher import duty rates on leather or wool goods, DDP eliminates the calculation entirely.

FINANCIAL TERMS
SAMPLE FEE REFUND AND CREDIT TERMS
The sample fee is non-refundable once production begins. This reflects the material and labor cost of producing a finished garment to your specification. We confirm the fee with you in writing before starting the sample — you approve it before the clock starts.
If you proceed to a bulk order within 60 days of sample approval, the full sample fee is credited against your bulk production invoice. No partial credit, no conditions beyond the 60-day window — the amount you paid for the sample comes off your first bulk invoice in full.
If your sample requires a revision, the revised sample is produced at a reduced fee — your account manager confirms the revision cost based on what changed. Minor construction adjustments typically carry a lower revision fee than a full re-sample with material changes.
Frequently Asked Questions
FREQUENTLY ASKED QUESTIONS ABOUT OUR SAMPLE POLICY
Common queries regarding fees, timelines, shipping and how revisions are handled.
Why is there a sample fee — is it refundable?
The sample fee covers the actual material and production cost of building a finished garment to your specification. It is non-refundable once production begins because those costs are real regardless of whether you proceed to bulk. However, if you place a bulk order within 60 days of approving the sample, the full fee — $40 to $100 USD depending on your style — is credited against your bulk invoice. You’re not losing the fee; you’re applying it forward.
What do I need to provide to start the 7-day sample timeline?
The 7-day window starts from an approved tech pack — not from first contact. Your tech pack should include your jacket silhouette, measurements, material specs, colorway references, embellishment placement, size, and any private label requirements. If your tech pack is incomplete, our team will identify what’s missing before production begins. Sending a complete brief on day one is the single fastest way to hit the 7-day turnaround.
Do I pay customs or import duties on my sample shipment?
Not if you select DDP shipping. DDP — Duty Delivered Paid — means we handle all import taxes, duties, and customs clearance fees from our end. Your sample arrives at your address with nothing additional to pay at customs. We confirm whether DDP is available to your specific destination before dispatch.
What happens if the sample needs changes?
If the sample requires a revision, we produce a corrected sample at a reduced revision fee — the exact amount depends on what changed. Minor adjustments such as embroidery placement or hardware swaps carry a lower revision cost than a construction or material change that requires re-cutting and re-assembling the garment. Your account manager confirms the revision fee before we begin so you know the cost before approving the next round.
